The flows in GroupAlarm are a powerful tool for depicting and automating individual functions and processes. From the automated sending of reports or messenger messages to the connection of interfaces, many things are possible. The individual elements of the flow give you the flexibility you need. If you have an idea for a function in GroupAlarm, it is quite possible that it can be realised with the flows.

Introduction Flows

In order to create or edit a flow, the appropriate administrative permissions for the service flows are required. As an organisation owner or organisation administrator, these permissions are automatically available.

Under the item Admin ⇾ Flows you will get an overview of all existing flows.

Appointment overview

Within the appointment overview of your organization, you can see all appointments that are due within the next month.
Use the selection at the top right to choose any other period to display further appointments.

At this point, you can also set whether further columns (e.g. with the repetition frequency of an appointment) are to be displayed.

Personal appointment overview

Each participant has his/her own appointment overview in his/her profile. To do this, open your profile menu and click on the Appointments button.

You will then receive an overview of all appointments from all organizations to which you have been invited or have invited yourself.

iCal Export

The SHARE button at the top left gives you access to an iCal export of your personal appointments.

You can store this URL e.g. in Google Calendar, Outlook or your mobile calendar to always have all appointments from GroupAlarm stored in your personal main calendar.

To do this, log in to the web interface and switch to your Availability in profile. There, you can send a test notification to the smartphone by clicking on the phone icon.

iOS: Geo-availability

Requirements

To use Geo-availability on your iPhone, the following requirements must be met:

Permission for incoming messages
Permission for exact location access, even if the app is running in the background (background access).

Important notes

The correct functioning of the geofences always depends on your smartphone, the system running there and the system settings made. This includes the current internet connection, the GPS signal, the charging status and battery-saving measures of the device, as well as the optimizations, made by iOS.

Your device decides when to check your position and thus whether you are in a geofence. We cannot force an automatic update of the geofence status. Delays of several minutes are normal here. In many cases, it is helpful to open a map application such as Apple Maps to trigger an immediate update.

Maximum number of active geofences

Due to a system default, a maximum of 20 geofences per app can be active at the same time. Therefore, within GroupAlarm, we are limited to a maximum of 20 geofences per iPhone. If you or your organizations use more than 20 geofences, you will receive a corresponding message and can deactivate individual organizations in the settings. If these geofences belong to the same organization, ask your organization administrator to remove unused geofences.

| GroupAlarm Messenger allows direct and secure communication between the users of an organization via the mobile apps.
By default, each organization gets a room with the same name, which contains all users of the organization and is automatically kept in sync with them.

Dedicated rooms

Dedicated rooms are ideal to give subgroups, teams, or committees a simple communication channel.

The overview of all rooms is located in the menu under "Administration" > "Messenger" and is available for organization administrators and participants with the "Chat" permission role.

Open the overview of all rooms and click on the "CREATE ROOM" button.
Now enter a unique name for the new room. The specification of participants and an avatar is optional. All entries can be changed later.

After creating the room, it is immediately available in the mobile apps. You may have to refresh the room list there once to find the new room.

Apple Watch issues

If an Apple Watch is connected to your iPhone, you will receive notifications on the watch by default and no longer on your smartphone. However, you have the option to disable alert mirroring for GroupAlarm in the watch's notification settings. This will allow you to receive the alerts on your smartphone instead.
