Labels



A label represents a required qualification within an alarm.
Possible target-oriented labels within a BOS organization are, for example, platoon leader, machine operator or respiratory protection equipment carrier.
Within a company, individual employee positions such as marketing, IT administration or development can be mapped.

Labels are given a name, a description, and a colour so that they can be easily recognized and distinguished.
Created labels are assigned to one or more participants in the [participant area]().



Create



Open the label overview using the navigation on the left under 'Configuration' > 'Labels'.
Click on 'CREATE LABEL' in the toolbar at the top to create a label within the organization.


The fields that now appear offer you all the configuration options that a label can have.
The necessary basic settings include the name, the description, and a colour. Describe here the qualification or function you want to map in your organization.

In addition, you can define a prioritization or a substitution label.

Prioritization



Use the prioritization to fill the label with priority in an alarm.
A higher prioritization on the label leads to the label being filled preferentially.

For a label to be prioritized, its prioritization must be higher than that of a lower weighted label. This way you can make as many gradations in the weighting of labels as you like. If you do not enter a prioritization, the label has a prioritization of 0.

Substitution



The use of substitution labels allows you to define a substitution for this label.
The positions of the label that cannot be filled in an alarm (e.g. due to a lack of available participants or cancellations already received) are then filled with the substitution.

The defined substitution label is only used during the alarm if a defined number of participants are alerted. If the function "all participants" is activated when the alarm is triggered or within a unit, no substitution label is used in the alarm.
This prevents us from unintentionally alerting significantly more participants than expected.

Edit & Delete



To edit or delete a label, click on the pencil symbol on the right edge of the label. Confirm the changes with the 'SAVE' button.
Select the bin icon to delete the label. A pop-up window appears in which you must confirm the deletion. Deleting a label is final and cannot be undone. All assignments associated with this label will also be lost.

Smart Labels



While labels can only be assigned and removed manually, smart labels are assigned automatically based on previously defined conditions.



For example, create a new smart label "Ready for use" that is only assigned to participants who meet the conditions "Instruction provided", "Health certificate provided" and "Vaccination status verified". As soon as a participant receives these three labels, he or she is automatically added to the "Ready for use" label. If one of these requirements is no longer met, the participant also loses the "Ready for use" label.

Now use the Smart Label "Ready" as a basis for further Smart Labels or directly in your alerts, alert templates or appointment invitations to select only the participants you actually want to reach.

In a Smart Label, you can use as many other labels as you like – also existing Smart Labels – and connect them through "and" or "or" links.
All known settings of a label (e.g. weighting, substitution label) are also available for smart labels.

CSV



Import



Using the CSV import, you can create multiple labels in a single step.
CSV stands for "Comma-Separated Values" and is a file format for simple structuring. You can create such files, for example, by exporting an Excel file.

To do so, click on the three dots in the right margin and select "CSV Import".



In the following window, click on the 'SELECT FILE' button to upload a CSV file.
The content of the file is displayed in the text field and can also be edited here. Alternatively, you can write directly in the text field without uploading a file. Keep to the format described (one label per line, values separated by commas: "name, description, HEX colour code") and note that the first line is ignored during the import process.



Click on 'NEXT' to get a preview of the labels. Click on the red bin to remove a label.



To start the import process, click on the 'DONE' button.
In the following window, you will see the result of the import.



If a label already exists, it will be skipped during the import process, and you will receive a notification in the event window.



Export



With the help of the CSV export, you can export your labels as a CSV file and, for example, forward them or import them into a sub-organisation.
To do this, click on the three dots in the right margin and select "CSV Export".
